Here are some <a href=\"https:\/\/buradabiliyorum.com\/en\/category\/general\/\" data-internallinksmanager029f6b8e52c=\"3\" title=\"General\" target=\"_blank\" rel=\"noopener\">general<\/a> rules and best practices you should follow to make your document more accessible to everyone, including people with disabilities.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Add_Alternative_Alt_Text_to_Visuals\"><\/span>Add Alternative (Alt) Text to Visuals<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>A screen reader, as the name implies, reads aloud the text on a screen. However, as sophisticated as screen readers may be, they can\u2019t understand the context of a graphic without the help of alt text. When you <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.howtogeek.com\/424208\/how-to-add-alternative-text-to-an-object-in-microsoft-word\/\">add alt text to an object in Word, you allow screen readers to collect and read aloud the description, providing aid to those with visual impairments.<\/p>\n<p><strong>RELATED:<\/strong> <strong><em>How to Add Alternative Text to an Object in Microsoft Word<\/em><\/strong><\/p>\n<p>Knowing which objects should include alt text is important. If a graphic is strictly decorative (like page borders), it\u2019s safe to exclude alt text, and you can mark the graphic as decorative in Word. When you do, screen readers will let the user know that the object in question is just for aesthetic purposes. You can also skip adding alt text to tables, as screen readers are able to capture the content within those without any additional help.<\/p>\n<p>You\u00a0<em>should<\/em> add alt text to any visual that adds additional context to your document. This almost always includes all:<\/p>\n<ul>\n<li>images<\/li>\n<li>photographs<\/li>\n<li>pictures<\/li>\n<li>diagrams<\/li>\n<li>charts<\/li>\n<li>icons<\/li>\n<li>shapes<\/li>\n<\/ul>\n<p><a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/support.microsoft.com\/en-us\/topic\/everything-you-need-to-know-to-write-effective-alt-text-df98f884-ca3d-456c-807b-1a1fa82f5dc2\">Writing effective alt text<\/a> can take a bit of practice as well. You want to make sure that you accurately describe the visual in a sentence or two (although a few carefully selected words can also do the trick).<\/p>\n<p>Here are some general tips for writing good alt text:<\/p>\n<ul>\n<li>Don\u2019t include phrases like \u201can image of\u201d or \u201ca graphic showing.\u201d<\/li>\n<li>Don\u2019t include textual content that <a href=\"https:\/\/buradabiliyorum.com\/en\/category\/download-scripts-themes-apps\/\" data-internallinksmanager029f6b8e52c=\"9\" title=\"Download Scripts &amp; Themes &amp; Apps\" target=\"_blank\" rel=\"noopener\">app<\/a>ears around the image as alt text.<\/li>\n<li>Write the alt text the same way you would write any other descriptive sentence.<\/li>\n<li>When including alt text for flow charts, include the whole process from beginning to end. This may be lengthier than alt text for other graphics, but it\u2019s necessary.<\/li>\n<\/ul>\n<p>Microsoft tries to make it easier for you by giving you the option to automatically add alt text to images, but you shouldn\u2019t rely on this feature. That\u2019s like asking someone else to write your content for you, and you can\u2019t guarantee that the description will be accurate. Own your content.<\/p>\n<p>To add alt text to objects in Word, click the image to select it, then click the \u201cAlt Text\u201d option in the \u201cAccessibility\u201d group of the \u201cPicture Format\u201d tab.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-715054\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/02\/Alt-text-option-in-accessibility-group-of-the-picture-format-tab.png\" alt=\"\" width=\"372\" height=\"188\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><\/p>\n<p>The \u201cAlt Text\u201d pane will appear to the right of the Word document.\u00a0Here, you can write your own alt text, have Word generate a description for you, or mark the graphic as decorative.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-715056 size-full\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/02\/Alt-text-options-in-right-hand-pane-in-Word.png\" alt=\"\" width=\"256\" height=\"314\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><\/p>\n<p>Images aren\u2019t the only <a href=\"https:\/\/buradabiliyorum.com\/en\/category\/social-mediaa\/\" data-internallinksmanager029f6b8e52c=\"1\" title=\"Social Media\" target=\"_blank\" rel=\"noopener\">media<\/a> that\u2019s used in Microsoft Word documents\u2014videos can play an important role, too.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Include_Closed_Captions_in_Videos\"><\/span>Include Closed Captions in Videos<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Videos can be a great resource, but you need to make sure that the information in the video is accessible to everyone. This means adding closed captions for those who may have difficulty hearing and prefer reading the on-screen text.<\/p>\n<p>Unfortunately, Microsoft Word doesn\u2019t have a built-in feature for adding closed captions to videos. This means that if you created the video yourself, you need to do things the old-fashioned way. You can use a text editor (such as Notepad) to create the closed captions, then save that file with the VTT extension.<\/p>\n<p>If you\u2019re linking to or <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.howtogeek.com\/402488\/how-to-embed-a-youtube-video-in-powerpoint\/\">embedding a YouTube video, then it will (most likely) already have closed captions thanks to Google\u2019s Speech Recognition that generates this text automatically. This will save you a little time, but these captions aren\u2019t always accurate. Try watching the video yourself using the closed captions to see what your audience will be seeing. If the closed captions aren\u2019t accurate, consider linking to another source.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Use_Meaningful_Hyperlink_Text\"><\/span>Use Meaningful Hyperlink Text<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Users can skip from link to link with a screen reader, so it\u2019s important that the hyperlinked text isn\u2019t ambiguous. In other words, if the text only says \u201cclick here,\u201d \u201csee more,\u201d or something similar, the user won\u2019t understand the meaning behind the link when the screen reader reads it back to them out of context.<\/p>\n<p><strong>RELATED:<\/strong> <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.howtogeek.com\/353603\/how-to-insert-delete-and-manage-hyperlinks-in-microsoft-word\/\"><strong><em>How to Insert, Delete, and Manage Hyperlinks in Microsoft Word<\/em><\/strong><\/p>\n<p>If you\u2019re able to do so naturally, it\u2019s best to use the destination\u2019s title in the text so that the user knows exactly what the link is.<\/p>\n<p>Adding links to images is not uncommon, either. However, this makes things difficult for screen readers. If you must add a link to an image, make sure that the image\u2019s alt text describes the purpose and location of the link\u2014not the image itself. For this reason, though, you should try to avoid using links in images whenever possible.<\/p>\n<p>While the <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/usability.yale.edu\/web-accessibility\/articles\/links\">usability and accessibility of links<\/a> may take a bit of time, the benefit that it brings to your audience is well worth the investment.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Use_Accessible_Text_Formats_and_Colors\"><\/span>Use Accessible Text Formats and Colors<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>When you insert a link in text, Microsoft Word adds an underline by default. While you can <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.howtogeek.com\/713773\/how-to-remove-the-underline-from-a-hyperlink-in-microsoft-word\/\">remove the underline from the hyperlink, there\u2019s a pretty good reason to leave it there.<\/p>\n<p>When you use indicators other than color, you make it easier for colorblind or visually impaired individuals to understand the information you\u2019re trying to convey\u2014whether it be knowing which text contains a link, or using checkmarks and X\u2019s instead of green and red to indicate that something is correct or incorrect.<\/p>\n<p>Additionally, you\u2019ll want to make sure that the contrast between your text and the document\u2019s background is sufficient. Alternatively, you can just use Microsoft Word\u2019s built-in Accessibility Checker tool.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Build_a_Logical_Document_Structure\"><\/span>Build a Logical Document Structure<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Building a logical document structure simply means using headings, and using them properly. One common mistake that people make when trying to organize the different sections of their content is to simply resize the text and make it bold. This presents several issues, such as making it more difficult for screen readers to read and understand the structure of your content, not to mention that your document won\u2019t be properly tabulated.<\/p>\n<p>Word has a decently sized library of heading styles to choose from in the \u201cStyles\u201d group of the \u201cHome\u201d tab. If none of them match the style of your document, then you can <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.howtogeek.com\/399978\/how-to-change-heading-styles-in-ms-word\/\">change the default heading styles.<\/p>\n<p>But using headings isn\u2019t enough\u2014you need to use them in the right way. That means nesting the headings in a logical order. For example, here\u2019s how good heading structure looks:<\/p>\n<ul>\n<li>Heading 1<\/li>\n<li>Heading 2<\/li>\n<li>Heading 3<\/li>\n<li>Heading 3<\/li>\n<li>Heading 2<\/li>\n<li>Heading 3<\/li>\n<\/ul>\n<p>And here\u2019s an example of poor heading structure:<\/p>\n<ul>\n<li>Heading 3<\/li>\n<li>Heading 1<\/li>\n<li>Heading 3<\/li>\n<li>Heading 2<\/li>\n<li>Heading 1<\/li>\n<\/ul>\n<p>Additionally, you\u2019ll want to use built-in formatting tools when appropriate. For example, if you want to make a list, then you can use the numbered\/bulleted list feature found in the \u201cParagraph\u201d group of the \u201cHome\u201d tab. This is preferred over typing a hyphen, adding a space, and then entering the text.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Use_Table_Headers_and_Simple_Structures\"><\/span>Use Table Headers and Simple Structures<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Sometimes it\u2019s just not possible to create simple tables, but when it is, you should. Screen readers read through tables (which is why you don\u2019t need to add alt text to them) and keep up with the location by counting the table\u2019s cells. When you <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/www.howtogeek.com\/howto\/microsoft-office\/nesting-a-table-inside-a-table-in-word-2007\/\">nest a table within a table\u00a0or use split cells, it makes it incredibly difficult for the screen reader to keep track.<\/p>\n<p><strong>RELATED:<\/strong> <strong><em>Tables and Other Formatting Controls<\/em><\/strong><\/p>\n<p>Screen readers also rely on table header information in order to identify columns and rows. You can add a header to your table. Click anywhere in the table and then, in the \u201cTable Style Options\u201d group of the \u201cTable Design\u201d tab, click the box next to \u201cHeader Row\u201d to select it.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-715299\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/02\/Table-style-options-in-the-table-design-tab.png\" alt=\"\" width=\"271\" height=\"197\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Review_Your_Document_with_the_Accessibility_Checker\"><\/span>Review Your Document with the Accessibility Checker<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Microsoft Word\u2019s Accessibility Checker scans your document and returns suggestions for making your content more accessible. This includes things like scanning images to make sure that they contain alt text and making sure that tables are using a simple structure.<\/p>\n<p>However, there are some limitations. The Accessibility Checker can\u2019t check videos for closed captions, nor can it understand if you\u2019re using color to convey information. Even after you use this tool, be sure to visually scan your document once before sending it out.<\/p>\n<p>To use the Accessibility Checker, click the \u201cReview\u201d tab, then click the icon above \u201cCheck Accessibility\u201d in the \u201cAccessibility\u201d group.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-715301\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/02\/Accessibility-Checker-tool-found-in-the-review-tab.png\" alt=\"\" width=\"395\" height=\"186\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><\/p>\n<p>The results of the inspection will appear in the \u201cAccessibility\u201d pane to the right of the document.
