private message to someone and ensure that they are the only ones who read it, protecting it with a password only the recipient knows is a solid choice.\u00a0Fortunately, secure email providers ProtonMail and Tutanota make this process easy and highly secure, and you can use both for free.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Why_Send_a_Password-Protected_Email\"><\/span>Why Send a Password-Protected Email?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>When you send an email to a standard webmail address like Gmail, the server receives the email and notifies the recipient. The server can see the entire contents of the email, and any devices set up for use with that email address can notify the recipient of a new message.<\/p>\n<p>This usually takes the form of a push notification with a visible subject line and a preview of the message contents. This means that the message contents won\u2019t even show up when searched for in a webmail or desktop client.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Sending_Password-Protected_Email_with_ProtonMail\"><\/span>Sending Password-Protected Email with ProtonMail<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/protonmail.com\">ProtonMail<\/a> is one of the web\u2019s best-known secure email providers. The service is based in Switzerland, where data protection laws are strict. It uses end-to-end encryption, so that email contents are stored in an encrypted format that not even ProtonMail\u2019s servers can decrypt.<\/p>\n<figure style=\"width: 650px\" class=\"wp-caption alignnone\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-717074 size-full\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/03\/protonmail.png?trim=1,1&amp;bg-color=000&amp;pad=1,1\" alt=\"ProtonMail Inbox\" width=\"650\" height=\"393\" data-credittext=\"ProtonMail\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><figcaption class=\"wp-caption-text\"><span class=\"imagecredit\">ProtonMail<\/span><\/figcaption><\/figure>\n<p>ProtonMail automatically encrypts all messages between users of the service, with an option to use PGP encryption for contacts who are using other email services. But there\u2019s also an option to simply send a password-protected email to anyone, regardless of which email service they use.<\/p>\n<p>To do this, you\u2019ll need to sign up for a <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/protonmail.com\/signup\">free ProtonMail account<\/a>. You can now click on the Expiration time \u201chourglass\u201d icon to determine when your email expires. All emails sent via this method will expire within 28 days by default, but you can pick a shorter time period if you like. The recipient will receive a notification that they have a password-protected email and a link waiting for them. The company is based in Germany, a country with some of the strongest data protection laws in the world. Tutanota also uses end-to-end encryption so that data on the server is only visible to the person who owns the email account.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-717075\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/03\/tutanota.png?trim=1,1&amp;bg-color=000&amp;pad=1,1\" alt=\"Tutanota Inbox\" width=\"650\" height=\"393\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><\/p>\n<p>Like ProtonMail, Tutanota also encrypts messages between users of the same service. Tutanota also includes a password-protected email mechanism that works almost identically to ProtonMail\u2019s, except that Tutanota\u2019s implementation also encrypts and hides the subject line, too.<\/p>\n<p>To send mail via Tutanota, sign up for a <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/mail.tutanota.com\/signup\">free account<\/a>. Just like with ProtonMail, you don\u2019t need to provide identifying information to sign up. Just pick a username and a password, and away you go. Nothing you say will be visible in an unencrypted format, since the message contents only ever exist on ProtonMail or Tutanota\u2019s servers.<\/p>\n<p>If your email provider is required to hand over the contents of your inbox due to a legal request, the contents of the email won\u2019t be saved anywhere. The same thing applies if there\u2019s a data breach and your inbox is compromised.<\/p>\n<p>This means that the contents of your message cannot be scanned by Gmail\u2019s AI, indexed by local search features on a mobile device or desktop, or appear in a push notification. The most a recipient will see before decrypting the message with a password is a notification that there\u2019s an email waiting for them.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-717709\" src=\"https:\/\/www.howtogeek.com\/wp-content\/uploads\/2021\/03\/new_secure_message.png?trim=1,1&amp;bg-color=000&amp;pad=1,1\" alt=\"ProtonMail Messaged Encrypted for All Email Accounts\" width=\"650\" height=\"465\" onload=\"pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\" onerror=\"this.onerror=null;pagespeed.lazyLoadImages.loadIfVisibleAndMaybeBeacon(this);\"\/><\/p>\n<p>There are drawbacks to this method too. Many people are unwilling to click on links in email messages, and it\u2019s even possible that some spam filters could incorrectly divert your encrypted mail to junk. Also, since the messages expire, it might be easy to lose them, especially if the recipient hasn\u2019t realized that they\u2019re there.<\/p>\n<p>It\u2019s also not an infallible system. Someone could guess the password, or the recipient could pass the link and password on to other people. Never assume that information is safe purely because it was password-protected at some point.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"Why_Not_Use_Gmail_or_Outlook\"><\/span>Why Not Use Gmail or Outlook?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>The best native protection that Gmail has to offer in this department is the <a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/support.google.com\/mail\/answer\/7674059?co=GENIE.Platform%3DDesktop&amp;hl=en\">confidential email<\/a> feature. This uses a one-time passcode to prove that the person opening the email has access to the mailbox it was sent to, but this method isn\u2019t much use if the inbox has already been compromised.<\/p>\n<p>Outlook also offers\u00a0<a rel=\"nofollow noopener\" target=\"_blank\" href=\"https:\/\/support.microsoft.com\/en-us\/office\/encrypt-email-messages-373339cb-bf1a-4509-b296-802a39d801dc\">some protection<\/a> using S\/MIME encryption, which requires certificates to be set up on your device and that the recipient uses a mail application that supports the standard. It\u2019s a far cry from simply entering a password, and it doesn\u2019t work with the webmail version of Outlook, either.<\/p>\n<h2 role=\"heading\" aria-level=\"2\"><span class=\"ez-toc-section\" id=\"What_About_Sharing_the_Password\"><\/span>What About Sharing the Password?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>How you deliver the password could be just as important as this process. If possible, do so in person so that you know that the person you are speaking to is who they say they are.
