Having email coming from your own domain name makes your business look more credible than using a personal email, and many business email providers will include much more storage as well.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_Does_Business_Email_Work\"><\/span>How Does Business Email Work?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Business email works in largely the same way traditional free email works. You have a mail server that collects your emails, usually managed for you \u201cin the cloud\u201d by a mail provider like Gmail. You connect to this server with a mail client, which usually comes in the form of a web dashboard, though you can also use a <a href=\"https:\/\/buradabiliyorum.com\/en\/category\/download-scripts-themes-apps\/\" data-internallinksmanager029f6b8e52c=\"9\" title=\"Download Scripts &amp; Themes &amp; Apps\" target=\"_blank\" rel=\"noopener\">download<\/a>able app like Outlook, Thunderbird, or the Mail app for macOS.<\/p>\n<p>The main thing that sets business email apart from regular email is having it come from your custom domain. If you have your own website, you might want email to come from an address like <code>yourname@yourcompany<\/code>, which looks more professional.<\/p>\n<p>This requires you to verify your domain name, which means you\u2019ll need to be able to access your DNS records, or edit the webpage hosted at that domain name. Custom domain email is also not free, and requires you to pay for the \u201cbusiness tier\u201d with most providers.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Hosted_Email_with_G_Suite\"><\/span>Hosted Email with G Suite<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"imgchk9 alignnone wp-image-880 size-full\" src=\"https:\/\/www.cloudsavvyit.com\/thumbcache\/0\/0\/a7c7c49b68199ecfcb519c46d56aaa87\/p\/uploads\/2019\/06\/3a1d6c57.png\" alt=\"Open laptop opened to Gmail\" width=\"700\" height=\"300\" \/><\/p>\n<p>The simplest option is to just pay someone to host your email for you. Google\u2019s premium email service is called <a href=\"https:\/\/gsuite.google.com\/\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">G Suite<\/a>. It\u2019s exactly the same as regular Gmail, except it\u2019s hooked to your domain name, and will send as <code>yourname@yourcompany<\/code>.<\/p>\n<p>If you have an organization with multiple users, G Suite gives you access to features like company-wide Google Hangouts sessions, and includes 30 GB of Google Drive storage per user, making it easy to share and collaborate on files in Drive.<\/p>\n<p>G Suite\u2019s standard tier is $6, per user, per month. You\u2019re also given the ability to create email aliases; for example, you could forward <code>contact@yourcompany<\/code>\u00a0to <code>yourname@yourcompany<\/code>\u00a0without paying anything extra. You can create up to 100 aliases for the same account.<\/p>\n<p>When you sign up, you\u2019ll need to verify your domain name to connect G Suite. This involves either editing your domain records to include a verification key, or adding an HTML tag into the homepage of your website. This will need to be done through your hosting provider or domain provider.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Microsoft_Outlook_and_Exchange\"><\/span>Microsoft Outlook and Exchange<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"imgchk9 alignnone wp-image-881 size-full\" src=\"https:\/\/www.cloudsavvyit.com\/thumbcache\/0\/0\/6e95c9b5a234c517d7eccc8506ecc55e\/p\/uploads\/2019\/06\/774711b4.png\" alt=\"Microsoft Outlook opened on a laptop and phone\" width=\"700\" height=\"300\" \/><\/p>\n<p>Another popular option for hosted email is Exchange and Outlook. Outlook is a desktop app usually included with Word and Excel, but is also available as an\u00a0online web app. Outlook is just a mail client, which is confusing because Microsoft also includes free email with your Microsoft account and calls the whole service \u201c<a href=\"https:\/\/outlook.live.com\/owa\/\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">Outlook.com<\/a>\u201c.<\/p>\n<p>The server powering Microsoft\u2019s free email is Exchange Server, which is what you\u2019ll be buying if you want business email. You\u2019ll still use the Outlook application to connect to Exchange, but you could use another client if you desired.<\/p>\n<p>If you have an Office 365 <a href=\"http:\/\/redirect.viglink.com?u=https%3A%2F%2Fproducts.office.com%2Fen-US%2Fcompare-all-microsoft-office-products%3F%26amp%3Bactivetab%3Dtab%3Aprimaryr2&amp;key=204a528a336ede4177fff0d84a044482\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">\u201cPremium\u201d or \u201cBusiness Essentials\u201d subscription<\/a>, Microsoft includes Exchange and Outlook as a service, which you can set up with your custom domain. You can also get Exchange by itself from Microsoft, which is the cheapest at\u00a0<a href=\"http:\/\/redirect.viglink.com?u=https%3A%2F%2Fproducts.office.com%2Fen-us%2Fexchange%2Fcompare-microsoft-exchange-online-plans&amp;key=204a528a336ede4177fff0d84a044482\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">$4 per user<\/a>\u00a0but doesn\u2019t include Outlook.<\/p>\n<p>You can also get Exchange hosted for you from services like <a href=\"https:\/\/www.rackspace.com\/en-us\/email-hosting\/hosted-exchange\/pricing\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">Rackspace<\/a>, which costs $3 per user at the cheapest, and will be functionally the same as getting it hosted from Microsoft. In most cases, you\u2019ll still pay per user just like G Suite, but probably won\u2019t get Outlook included with the plan, because that\u2019s not available for third-party vendors to license.<\/p>\n<p>The Exchange Server application is available to license, so you could run it yourself on your own servers, but those licenses are intended for large businesses running it internally and cost thousands of dollars per year. You\u2019ll instead want to buy it from a vendor offering a hosted option.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Use_Your_Hosting_Providers_Built-In_Account\"><\/span>Use Your Hosting Provider\u2019s Built-In Account<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"imgchk9 alignnone wp-image-884 size-full\" src=\"https:\/\/www.cloudsavvyit.com\/thumbcache\/0\/0\/e5b060616b09d31d5de49ea0499e0c6a\/p\/uploads\/2019\/06\/3ae03673.png\" alt=\"GoDaddy's built-in hosted spaced\" width=\"700\" height=\"300\" \/><\/p>\n<p>The provider that you use to host your website may also include email as an add-on or built in to your service. For example, if you\u2019re using GoDaddy, it probably manages your domain and web server hosting already. They also offer <a href=\"https:\/\/www.godaddy.com\/email\/professional-business-email\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">hosted email for $2 a month<\/a>, and include it in some of their packages.<\/p>\n<p>Related article : 9 Best Free Business Email Accounts for Business in 2021<\/p>\n<p>GoDaddy\u2019s email service, alongside many others, includes their own webmail interface, which isn\u2019t very user friendly. You can solve this by connecting your inbox to a third-party client like <a href=\"http:\/\/redirect.viglink.com?u=https%3A%2F%2Fproducts.office.com%2Fen-us%2Foutlook%2Femail-and-calendar-software-microsoft-outlook%3FSilentAuth%3D1&amp;key=204a528a336ede4177fff0d84a044482\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">Outlook<\/a> or <a href=\"https:\/\/www.thunderbird.net\/en-US\/\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">Thunderbird<\/a>, and managing it from there instead.<\/p>\n<p>Check with your hosting provider to see if you already have email, because you might be fine with using that as your mail server and not paying extra for G Suite or Exchange. However, even if your provider includes email, you should still be able to set up hosted email from another service without much issue, unless your domain settings are locked down.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Just_Use_a_Normal_Gmail_Address\"><\/span>Just Use a Normal Gmail Address<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"imgchk9 alignnone wp-image-885 size-full\" src=\"https:\/\/www.cloudsavvyit.com\/thumbcache\/0\/0\/bb65262ce6646a2a33961a33895624c2\/p\/uploads\/2019\/06\/2268e749.png\" alt=\"Setting up a Gmail account\" width=\"700\" height=\"300\" \/><\/p>\n<p>While it\u2019s not as professional, there aren\u2019t many differences between G Suite and regular Gmail besides extra storage and custom domains. Gmail specifically is still reasonably professional, especially if you\u2019re able to snag <code>yourcompany@gmail.com<\/code>\u00a0(which you should probably do anyway). However, you should definitely stick to Gmail, as @hotmail.com or @AOL.com look much worse.<\/p>\n<p>If you really need your emails to send with a custom domain, it\u2019s actually possible to set up a normal Gmail account to use your business name, but it\u2019s not a great solution.<\/p>\n<p>First, you\u2019ll need to set up email forwarding with your DNS provider. Forward <code>yourname@yourcompany<\/code>\u00a0to your personal Gmail account. Then, follow <a href=\"https:\/\/support.google.com\/mail\/answer\/22370?hl=en\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">these steps<\/a>\u00a0to verify the domain, configure Gmail to send as your custom domain, and set it as your default \u201cFrom\u201d address.<\/p>\n<p>This way, any incoming mail will be forwarded to your personal email, and any outgoing mail from your personal email will have your domain name slapped onto it. However, this isn\u2019t supported in every mail client; in Outlook in particular, recipients of your mail might see \u201cSent from <code>youremail@gmail.com<\/code> on behalf of <code>yourname@yourcompany<\/code>,\u201d which is not ideal.
