Some, like me, make a conscious effort to limit the number of unread emails (even if we don\u2019t always reply to everyone) while others are perfectly h<a href=\"https:\/\/buradabiliyorum.com\/en\/category\/download-scripts-themes-apps\/\" data-internallinksmanager029f6b8e52c=\"9\" title=\"Download Scripts &amp; Themes &amp; Apps\" target=\"_blank\" rel=\"noopener\">app<\/a>y to let thousands of messages pile up \u2014 and simply ignore them.<\/p>\n<p>Personally, I can\u2019t handle the thought of having more than 20 unread messages in my inbox. If my email count surpasses this magic number, I need to take im<a href=\"https:\/\/buradabiliyorum.com\/en\/category\/social-mediaa\/\" data-internallinksmanager029f6b8e52c=\"1\" title=\"Social Media\" target=\"_blank\" rel=\"noopener\">media<\/a>te action or else deal with mounting anxiety that prevents me from doing my actual job or enjoying a vacation.<\/p>\n<p>Having a relatively clear inbox is my online equivalent to tidying my desk. <em>Ah, peace.<\/em><\/p>\n<p><em>[Read:\u00a0<\/em><em>What audience intelligence data tells us about the 2020 US presidential election<\/em><em>]<\/em><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Inbox_Zero_is_not_always_the_answer\"><\/span>Inbox Zero is not always the answer<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>I\u2019ve subscribed to the <a rel=\"nofollow noopener noreferrer\" target=\"_blank\" href=\"https:\/\/www.youtube.com\/watch?v=z9UjeTMb3Yk\">Inbox Zero<\/a> email managing technique for years \u2014\u00a0<span style=\"font-weight: 400;\">or so I thought.<\/span><\/p>\n<p>Developed by productivity expert Merlin Mann, Inbox Zero is a rigorous approach to email management that seeks to allow people to clear their inbox.<\/p>\n<p>It\u2019s important to note that Zero doesn\u2019t refer to the number of messages that should be left in an inbox, it\u2019s in fact the \u201camount of time an employee\u2019s brain is in his or her box.\u201d<\/p>\n<p><em>[Read:\u00a05 easy steps to achieve Inbox Zero]<\/em><\/p>\n<p>Mann argues that time and attention are limited and when an inbox is conflated with a \u201cto-do\u201d list, productivity can suffer so he\u2019s identified five possible actions to take for each message: delete, delegate, respond, defer, and do.<\/p>\n<p>I\u2019m going to level with you: I do a lot of deleting, delegating, and deferring \u2014 mostly because I get MANY irrelevant emails.\u00a0<span style=\"font-weight: 400;\">But I mainly do it for the small endorphin rush that comes with seeing the number of unread emails go down to \u20180\u2019, rather than actually detaching my brain from my inbox.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Now it\u2019s clear I wasn\u2019t following the true teaching of Inbox Zero, but why is it that we gravitate towards the simple interpretation of \u2018zero unreads\u2019?<\/span><\/p>\n<h2><span class=\"ez-toc-section\" id=\"Understanding_the_psychology_of_email\"><\/span>Understanding the psychology of email<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><span style=\"font-weight: 400;\">I\u2019ll never fully understand how people can let their emails pile up but \u2014 honestly, I break out in sweat when I see my husband\u2019s 50,000 unread emails \u2014 but why is it such an issue for people like me?<\/span><\/p>\n<p>\u201cWhen email engines give us unread notifications, they are using a behavioral technique called the Zeigarnik principle,\u201d Beatrice Andrew, a behavioral <a href=\"https:\/\/buradabiliyorum.com\/en\/category\/sciencee\/\" data-internallinksmanager029f6b8e52c=\"5\" title=\"Science\" target=\"_blank\" rel=\"noopener\">science<\/a> consultant, tells me.<\/p>\n<p>This principle is based on the notion that humans like to complete incomplete things. Hello, this is me in one sentence!<\/p>\n<p>\u201cWe like to get to the end of something or complete a whole task. We get a bit of a kick out of getting to the end of something,\u201d Andrew adds.<\/p>\n<p>So, when I feel that slither of anxiety, it\u2019s possible that my brain is unconsciously telling me that I want to untick the notifications or read the unread messages \u2014 and me being me, well I can\u2019t let that go.<\/p>\n<p>Andrew says it\u2019s crucial to remember that inboxes are a digital tool we use to assist them. \u201cRather than being managed by the inbox, we need to find ways of making it work for us in the most effective way,\u201d she notes.<\/p>\n<p>The first thing we need to remember is that we all have different priorities and we need to give people the space to use email that works for them.<\/p>\n<p>Some people might need a nudge if they don\u2019t reply to an email in a timely manner \u2014 and that should be OK. Some roles require you to be completely responsive and clear emails immediately, but that might not be the case across everyone in a business.<\/p>\n<p>Overall, it\u2019s important to remember that people with different personalities deal with emails (and other things) very differently. \u201cHumans all think in different ways at different points in time and place,\u201d says Andrew.<\/p>\n<p>For example:<\/p>\n<ul>\n<li>\n<strong>A detailed thinker<\/strong> will need a neat and tidy, administered inbox.<\/li>\n<li>\n<strong>A process-driven thinker <\/strong>will administer\u00a0their inbox manually, on an\u00a0email by email, and\u00a0case by case basis.<\/li>\n<li>\n<strong>An abstract visionary thinker<\/strong> will be happy to ignore their inbox and will be unaltered by the mess. (Yikes!).<\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"Managing_your_inbox_%E2%80%94_and_not_the_other_way_round\"><\/span>Managing your inbox \u2014 and not the other way round<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>We create habits when a specific behavior becomes automatic or habitual thanks to regular repetition.<\/p>\n<p>\u201cEmail is a habit for many people,\u201d Andrew says, adding \u201cWhether email habits are constructive or destructive in the workplace depends on your responsibilities and priorities.\u201d<\/p>\n<p><em>[Read:\u00a0How to achieve Inbox Zero with these Gmail search queries]<\/em><\/p>\n<p>What\u2019s really missing is the need to teach appropriate skills that work for different styles and that help you to manage your inbox without getting obsessed.<\/p>\n<p>Andrew recommends you:<\/p>\n<ul>\n<li>Set times where you check your emails<\/li>\n<li>Turn off notifications<\/li>\n<li>Set an \u2018Out Of Office\u2019 if you are not able to answer to prevent any \u2019email anxiety\u2019 forming.<\/li>\n<li>Make\u00a0people aware you might be slow to reply with an automatic responder can also help put your mind at ease and manage expectations. My editor, M\u00e1r, swears by this.<\/li>\n<\/ul>\n<p>We also need to help each other by following basic email etiquette, writing clearly, and stating when a task or comment is directed at a specific person in an email always helps to direct attention.<\/p>\n<p>\u201cSee email as your tool, not something that controls you. Use it to your advantage and set clear boundaries around how you use it that works for you. If you do not see value in your email, consider what you could change that could make it a better experience for you,\u201d Andrew concludes.<\/p>\n<p>As much as they\u2019re annoying, emails are unlikely to go away altogether. So, it\u2019s really about how you approach your inbox that matters.<\/p>\n<p><span style=\"font-weight: 400;\">If you\u2019re using Inbox Zero and it\u2019s not worked so far \u2014 or if you\u2019ve been practicing the \u2018wrong\u2019 Inbox Zero \u2014 it might be time to give up and reconsider. Regardless of what method you use, or don\u2019t use, don\u2019t let it dictate your life. Just remember, an inbox is supposed to work for you not the other way round.<\/span><\/p>\n<p>Anyway, I currently have 22 unread emails sitting in my inbox. I\u2019ve got to go.
